Type Quick Parts in Outlook

To begin with, type the desired text, format it the way you want, and include graphics if needed. The steps for emails, appointments, contacts and tasks are the same regardless of where you create a new building block. You can type a unique name for your Quick Part.

Short and meaningful names can save you a lot of time because a building block can be inserted by name. The names are listed in alphabetical order. If you want a specific entry to appear at the top of the list, you can use a number or underscore.

The new building block can be seen in the gallery. Outlook can save entries in many different galleries, but you'll use Quick Parts and AutoText. You can categorize the categories as sub-folders for further grouping.

The category is called General. If you have more than 10 pieces, it's a good idea to organize them in their own categories. Click the drop-down arrow to create a new category.

If you want the new Quick Part to be available in all emails and other Outlook items, you need to save in the NormalEmail.dotm template. You can use your own templates to build your building blocks. A template must be open to be seen.

Outlook - A New Tool for Email Forwarding

Attaching a file to an email can cause you to click through your folder hierarchy. Most of the time, there are ways to avoid the labyrinth. If you have a file open in Outlook 2016 and you want to attach it, you can use the Attach File option shown in Figure A.

The second way is to use a computer. If you click on the file, it will open a new email message with the attached file. If you send the same message frequently, you can type it as needed or copy the content from a note.

You can save time by creating a template that contains the content. You can include a file with the template. To format all the desired content, open a new message and enter.

You can change the content before sending, so you can include everything you need in the template. You can unflag several messages at the same time. Simply hold down the Shift or the Ctrl key to create a multi-message selection.

Press the insert if you want to select all the messages. Adding or removing flags will be done accordingly. Outlook will move your emails to a new folder if they include you as a recipient and not a sender.
