Using Quick Steps to Eliminate Unnecesary Click

The article explains how to integrate Quick Steps in your email workflows to eliminate unnecessary clicks and how to use Outlook365, Outlook 2019, Outlook 2016 and Outlook 2013 to do so. It's most annoying to do the same things day in and day out, but do it from scratch every time. What would you say if you could do your email routines with a click of a button?

Outlook Quick Steps are about that. Not all actions are executed silently. If you reply or forward a message, it will open so you can review it and make changes.

When you click the Send button, a message will be sent. The steps that are available at a given time are inactive. You can't use those that are unavailable right now.

You can automate a number of tasks and reduce the time you have to perform repetitive actions with just a little set-up ahead of time.

Change Quick Steps

You can change the Quick Steps. When you use Quick Steps for the first time, you are asked to set them up. If you want to use the Quick Step to move messages to a folder, you need to specify the folder.

Your manager will receive the message. If your organization uses Microsoft Exchange server or Microsoft365, your manager's name is detected in the Global Address List and you can specify the recipient. The message is forwarded to your team.

Press the insert if you want to select all the messages. Adding or removing flags will be done accordingly. Outlook will move your emails to a new folder if they include you as a recipient and not a sender.

How to Reduce the Number of Places where you Read Message

You should reduce the number of places where you read messages. If you're using a new version of Microsoft 365, you can use Focused Inbox for Outlook to separate the types of messages you're most likely to read right away from other messages. The default arrangement for tasks is due date, but you can change it to start date if you want.

If you want to see the tasks that you pushed out, you should arrange by Start Date. If you want to see the tasks on the day they are due, arrange by due date. You can perform multiple actions in one click with Quick Steps.

They are useful to help you keep a clean inbox and to be more efficient at using Outlook. If you find yourself doing the same steps in Outlook, you can create a Quick Step. You can find other ways to get something done after you create Quick Steps.

If you find yourself doing the same thing again, try creating a Quick Step. As projects change, update your Quick Steps to make them more relevant. You are ready to manage incoming messages once you set up your system.

By making your inbox the central place for receiving important messages, you can go through it with the confidence that each item is something you need to deal with. Don't deal with your messages. If you receive a lot of messages, you should set aside time to deal with them.

A Note on Quick Action

There is no button the reading pane or fully open message in Quick Action. Consistency would have been helped by that. A customer could choose the actions they take when they see the message.

Organize and Deleter Quick Parts in Outlook 2007

You can use them as you please. Quick Parts is the way to get a certain amount of text, images, and other graphics to be readily available. Outlook after 2007, including the one that was created in 2007, has Quick Parts.

Outlook 2007, Outlook 2010, Outlook 2013, Outlook 2016 and Office 365 can all be used. If you want to insert that Quick Part, you just need to hit Enter. If you type more, or something that breaks from the name of the Quick Part, the suggestion will disappear and the Enter key will return to a carriage return.
